Certified Translation PDF vs Stamped Hard Copy in the UAE
The Short Answer
For most online applications in the UAE, such as residence and family visas through ICP or GDRFA, court e-filing and licensing portals, you upload a PDF of the certified translation: the translator’s signed and stamped translation, scanned together with the source document. You need the stamped hard copy when someone must hold the original: a foreign embassy, an in-person notary appointment, a bank that keeps paper files, a court that asks for originals at a hearing, or an attestation step that stamps the paper itself.
At Smart World Legal Translation (SWLT) every certified translation is sent as a PDF first, and the stamped hard copy is prepared when you need it, so one translation covers both uses.
Why Digital Is Now the Default
Dubai Government declared itself 100% paperless in December 2021, and federal and Abu Dhabi services have moved the same way: most applications are submitted through portals and apps, signed in with UAE PASS. Federal Decree-Law 46 of 2021 on Electronic Transactions and Trust Services gives electronic signatures standing comparable to handwritten ones. That does not oblige every authority to accept every PDF: each one still decides what format it requires, and the instructions of the specific service always win.
Side-by-Side Comparison
| Certified translation PDF | Stamped hard copy | |
|---|---|---|
| What it is | Scan of the signed and stamped translation with the source document | The original paper translation, stamped and signed in ink |
| Typical delivery | WhatsApp or email, often the same day | Collection or courier after the PDF |
| Best for | ICP and GDRFA visas, court e-filing, licence portals, employers, universities | Embassies, in-person notary, attestation, banks with paper archives |
| Can be re-used | Yes, upload as often as needed | Some authorities keep the original, so order extra copies |
| Extra cost | None | Courier charges where applicable |
When the PDF Is Usually Enough
Residence, family and Golden Visa applications
ICP and GDRFA services ask you to upload documents. A clean, colour PDF of the certified translation is better than a phone photo of paper. See certified translation for UAE visas and why visa translations get rejected.
Court e-filing
Dubai Courts, the Abu Dhabi Judicial Department and federal courts receive filings electronically. The court can still ask for originals, so keep the hard copy available.
Company and licence changes
Economic departments and free zones process amendments online. Our guide to mainland vs free zone corporate documents covers which files they ask for.
When You Still Need Paper
Order the stamped hard copy (or several) in these cases:
- Foreign embassies and consulates that legalise the translation or require originals for a visa file.
- MOFA or embassy attestation of the translation, because the stamp goes on the paper. See the MOFA attestation guide.
- In-person notary appointments for powers of attorney and declarations. See our notary public guide.
- Banks and institutions abroad that keep certified paper copies on file.
How to Avoid Paying Twice
Tell us every use at the start
If the same birth certificate goes to ICP online and to an embassy on paper, we prepare the PDF and the right number of stamped copies in one order.
Check the receiving authority’s wording
“Upload”, “attach” and “e-service” usually mean a PDF. “Original”, “wet stamp” or “legalised” mean paper.
Keep the PDF safe
It is your record of exactly what was certified and lets us issue extra stamped copies quickly if needed.
Frequently Asked Questions
Is a printed PDF the same as a stamped original?
No. A printout shows the stamp but is a copy. If an authority asks for an original or wet stamp, it needs the paper the translator stamped and signed.
How fast is the PDF delivered?
Short personal documents are usually translated the same day or within 24 hours, and the PDF is sent as soon as it is certified.
How much does it cost?
From AED 80 per 200-word page for Arabic and English, AED 100 for French, AED 150 for German, Italian or Turkish, and AED 250 for other languages such as Chinese, Russian or Urdu (all excl. 5% VAT). Urgent work is priced on request, and large files receive discounts. The PDF is included; courier charges are quoted separately.
Can you send the hard copy to another emirate?
Yes. We serve all seven emirates online from our Abu Dhabi office and arrange courier delivery of stamped copies.
